Position Summary
Under the supervision of the Aquatics Director, the Aquatics Operations Coordinator is
responsible for managing the safety, programming, member retention, and customer
satisfaction within the Aquatics Department. This role includes assisting the Aquatics
Director in supervising Lifeguards, Lead Lifeguards, and Lifeguard Instructors, overseeing
facility operations, and coordinating pool schedules for programs and activities.
The Aquatics Operations Coordinator is also responsible for maintaining accurate
timekeeping records for aquatics staff and ensuring all required training and certifications
are current. Additionally, the coordinator ensures that operations comply with the
organization’s policies and safety standards. This role involves supporting the Aquatics
Director in developing and enhancing the branch’s aquatics programs and staff. The position
requires a minimum of 20 hours of direct service, which may include lifeguarding, lifeguard
instruction, swim instruction, or deck supervision.

Job Responsibilities
Staff Recruitment and Management

  • Recruiting, hiring, training, scheduling, and managing lifeguards and lead lifeguards
  • Reviewing staff performance and developing strategies to motivate and guide teams
    toward goals
  • Providing regular coaching and feedback to support staff development
  • Tracking and overseeing lifeguard certifications and scheduling additional training

Safety and Compliance

  • Maintaining up-to-date staff certifications and enforcing safety standards for
    lifeguards
  • Educating staff on and enforcing Aquatics Safety Policies and Procedures
  • Monitoring and maintaining emergency equipment to ensure proper working
    conditions
  • Overseeing audits (daily, weekly, monthly) for equipment checks, capacity counts,
    drills, and compliance

Scheduling and Operational Flexibility

  • Creating and managing schedules for part-time, full-time, and seasonal lifeguards
  • Adjusting lifeguard schedules to meet pool capacity needs while adhering to work-hour policies
  • Ensuring coverage for lifeguarding or swim instruction as needed in coordination with
    the Aquatics Director

Training and Development

  • Leading at least six lifeguarding and oxygen administration training sessions annually
  • Planning and organizing safety training courses, including instruction and registration
  • Leading monthly in-service training sessions for lifeguard staff
  • Assisting with private and group swim lessons as needed

Program Promotion and Customer Service

  • Delivering and promoting high-quality programming to members
  • Providing excellent service by addressing member concerns and escalating issues
    when necessary
  • Supporting volunteer recruitment for the Annual Giving Campaign
  • Assisting in organizing events like Safety Around Water week and summer splash
    camps

Financial and Operational Oversight

  • Approving and ensuring the accuracy of bi-monthly timecards for Aquatics staff
  • Collaborating with leadership to maintain standards in safety, financial goals, and
    staff satisfaction
  • Ensuring smooth facility operations in the absence of Aquatics Directors

Leadership and Team Collaboration

  • Collaborating with leadership to maintain safety/policy standards and achieve
    financial goals
  • Providing leadership during high-pressure situations and ensuring the safety of all
    facility users
  • Leading by example in maintaining composure and delivering excellent customer
    service

Operational Flexibility and Coverage

  • Providing coverage for lifeguarding or swim instructing as needed
  • Ensuring availability during mornings, evenings, and weekends based on program or
    facility needs.

Qualifications
Certain required qualifications may be obtained within 90 days of hire, depending on the
position’s needs and organizational requirements.

  • High school diploma or equivalent
  • 1+ year of experience as a swim instructor and/or lifeguard1+ year of experience
    supervising and leading teams.
  • American Red Cross (ARC) Lifeguard certification
  • American Red Cross Lifeguard Instructor (LGI) Certification
  • American Red Cross CPR for the Professional Rescuer (CPRO) [best practice is to
    renew annually]
  • American Red Cross First Aid certification
  • American Red Cross Emergency Oxygen Administration certification
  • YMCA Lifeguard Supervisor certification
  • Availability to work mornings, afternoons, evenings, and weekends.
  • Must be available to work 40 hours per week including:
    ο 20 hours of frontline duties and 20 hours of administrative work.
    ο Position does not exceed 40 hours per week.
  • Basic proficiency with computer applications, including Microsoft Outlook, Word,
    Excel, and Google Drive.

Preferred Qualifications

  • 2+ years of supervising and leading teams
  • Strong background in aquatics and leadership
  • Bilingual in Spanish, Cantonese, Mandarin, or other languages.

Work Environment & Physical Demands
The Aquatics Coordinator works primarily indoors within the pool area, with occasional
outdoor responsibilities depending on program needs. The role involves spending
considerable time near or in the water and may require exposure to varying temperatures
and humidity levels associated with aquatic environments. The coordinator is expected to
manage administrative tasks such as scheduling shifts, maintaining accurate program
records, and coordinating staffing needs, all while maintaining excellent customer service in
a fast-paced setting. Flexibility is required, as the schedule may include evenings,
weekends, and occasional outdoor activities.
The physical demands of this role include standing, walking, and moving around the pool
area and office for extended periods, lift up to 50 lbs., assisting with setting up or moving
equipment, and demonstrating swimming techniques. The coordinator must possess quick
reflexes and the ability to respond effectively to emergencies in and around the water.
Additionally, the coordinator must maintain focus in a fast-paced environment while
providing excellent customer service.

Salary Description
The Aquatics Operations Coordinator position offers a compensation range of $28.00 –
$33.00 per hour. This rate is based on salary benchmarking for similar roles and is aligned
with grant fund approvals and requirements for the position.
